Job Description
R.V. Kuhns & Associates, Inc. (RVK) a nationally recognized, strategic investment consulting company, is seeking a team player to serve as a Front Office Coordinator, for our Portland, Oregon location. This position coordinates activities in the reception area and is the first impression of the company and therefore, a professional appearance is mandatory. Primary responsibility will include answering our multi-line phone system, greeting guests, handling shipments and deliveries, sorting and distributing mail, faxes, etc.

This position also plays a critical role in helping to support Consultants and Associate Consultants with travel logistics and other requests, Also responsible for additional help with projects from other departments within the firm.

Only experienced administrative professionals will be considered for the Front Office Coordinator position. Candidates must be accomplished, energetic, have a friendly, professional work demeanor, as well as possess excellent organizational, verbal, and written communication skills. The ability to independently problem solve, multi-task, prioritize, pay attention to detail, exercise good judgment, and have strong interpersonal skills are essential components of the position.

Duties for this position will include, but are not limited to:
• Answers and directs all incoming telephone calls, voice mail transfers, or takes messages as appropriate.
• Coordinates and prioritizes a large volume of incoming/outgoing mail packaging (UPS, courier, and regular mail).
• Prioritizes, distributes and takes action on incoming mail in a timely manner.
• Maintains client-ready appearance of reception and conference room areas.
• Welcomes visitors by greeting them, in person or on the telephone.
• Responsible for front office organization and records maintenance (hard copy and database.)
• Sorts, sends, and distributes incoming faxes.
• Coordinates the company’s petty cash box.
• Coordinates Outlook calendars and travel schedules
• Coordinates and support office events and meetings, and any other general administrative assistance (typing, filing, copying, faxing, etc.)
• Ensures that front office and mail area is in order and stocked with supplies as appropriate.
• Works with accounting manager to process A/P and A/R transactions as required.
• Performs other duties as assigned as member of the Project Support Team.
• Updates multiple databases that directly impact workflow
• Responsible for company security in locking all outside doors at 5:00 p.m. This includes outside doors on a different floor and/or any annex areas.
• Hours are from 8:00 am to 5:00 pm, and are not flexible.

Skill Requirements
The Front Office Coordinator position provides critical support to RVK. Candidates with the best combination of the following skills, abilities, experience, and training will be considered for this full-time position:

• 1 - 2 years related experience and/or training or equivalent combination of education and experience.
• Excellent customer service skills, including demonstrated excellent telephone skills.
• Professional appearance and demeanor and be comfortable interacting with all levels of staff and clients.
• Mastery of Microsoft Professional Suite.
• Positive attitude and ability to multi-task.
• Demonstrated time management skills.
• Decision making skills - ability to work and think independently.
• Ability to generate ideas and suggestions for improvement without being prompted.
• Experience with UPS online shipping preferred.
